Finance & Administration Apprentice

Salary: Weekly wage £138.75

We are looking for a dedicated apprentice to help provide Financial & General Office Administration support to the team in the office. Such as assisting the Finance and Administration departments with various tasks as required and to assist in maintaining accurate records to enable the Trust to function.

Tasks relate to both the Trust (CWT) and its Consultancy (CEC)

Assist the Finance Team with various tasks to enable accurate and timely processing of the finances of the Trust. Tasks will include:

  • Data entry of items such as purchase invoices, sales invoices and cash receipts
  • Preparation of supplier payment runs (both cheque and BACS payments)
  • Maintain client and supplier records within the accounting system
  • Filing financial records in an accurate and timely manner, in line with current legislation
  • Assessing archived records to ensure that they are disposed of in line with current legislation
  • Preparation of grant claims, including preparation of evidence required
  • Regular reconciliation of bank and credit card statements and petty cash records
  • Follow up accounts overdue for payment, in writing and over the phone
  • Data analysis
  • Ad hoc work as and when required

Assist the Administration Team with general administration tasks throughout the trust. Tasks will include:

  • Maintenance of electronic records for logging pool car mileage data
  • Monitor stationery levels and reorder as required
  • Answer telephone calls and redirect calls to relevant person(s) if required
  • General administration duties to assist all departments and projects. (e.g. photocopying)
  • Handling incoming post and general email enquiries and disseminating as necessary
  • Greeting visitors and handling their enquiries
  • Ensure communal space is kept neat and tidy
  • Overseeing deliveries and collections
  • Ensuring office machinery (e.g. printers) are operational and have adequate supplies of toner, paper, etc.
  • Assisting with organisation of events and staff meetings
  • Ad hoc work as and when required

Assist the HR, Safety & Welfare Manager as required. Tasks will include:

  • Filing of personnel documents
  • Archiving personnel records of employees that have left
  • Maintenance of health and safety records including accident reports and PPE records
  • Maintenance of electronic timesheets and holiday and sickness records
  • Ad hoc work as and when required

Assist the ICT Team with computer based tasks as required. Tasks will include:

  • Maintenance of internal intranet pages
  • Maintaining employee equipment records
  • Assisting colleagues with general telephone or computer issues where possible
  • Ad hoc work as and when required

All staff are expected to:

  • Undertake any other duties appropriate to the post as delegated by the line manager
  • Contribute to other Cornwall Wildlife Trust activities when required, to deliver the aims of the strategic plan
  • Abide by organisational policies and procedures laid down in the Staff Handbook
  • Ensure that Health and Safety policies and procedures are met in all aspects of the role
  • Follow CWT policies on data protection and apply the 8 principles of data protection in your daily work

Requirements and prospects

Desired skills

  • Computer literate
  • Polite telephone manner
  • Communicate confidently and effectively with colleagues and with members of the public when required
  • Manage own work programme with limited support
  • Ability to follow written processes
  • Knowledge of Microsoft Office, particularly Word, Excel and Outlook
  • Knowledge of Sage 50 accounts package would be useful, but training will be given if required
  • General office processes and procedures, however, ongoing training will be given
  • Some knowledge of wildlife in Cornwall would be helpful, but can also be learned on the job
  • Basic Experience in administration and/or financial roles would be useful, however full training will be given

  • GCSE grade D or above or equivalent.

Future prospects
Opportunity for a Full-time role with the company on successful completion of the Apprenticeship depending on project funding at the time.

Things to consider
Driving license desirable due to location but not essential.
